Effective Appointment Scheduling Using Software

In business, time is the most precious commodity because time is the only limited resource, and time is money. Therefore, for your business to grow and scale, you have to be able to manage your time properly. Time is all the more important if you are running a medical practice. That's because your entire business is dependent on how well you schedule your time. The more patients you work with, the more revenue your practice generates.

The only way you can continue to manage your time properly as your practice grows is to find some kind of system that will help cut down on time wastage. For example, you can use appointment scheduling software to track and manage all the appointments that you have. Here are suggestions that you may find helpful.

Find out where you are spending your time on.

This is the first thing that you need to know, and your software will be able to tell you, in details, how you have been spending your time. Without any proper tracking, you could be spending time on all the less important tasks. For instance, you may be scheduling less important appointments ahead of other higher priority appointments without realizing it.

With a proper tracking system, you should be able to quickly tell if you are giving your time to the revenue generating activities. If you own a dental practice, you may want to schedule appointments like root canals, bridge work, veneers, etc. first, followed by the others.

Instant access to records any time, anywhere.

Appointment scheduling usually requires you to have access to the records. If you store all your records in your office, you find that you can't get any scheduling done without having someone in the office. If you are out of office, you can make a phone call back to your office so that somebody else can check the records for you. But what if you want to access the data after office hours? No one is in the office then. You can easily access records any time, anywhere, if you choose to use appointment scheduling software and use a remote access service like logmein or gotomypc .

When to book appointments.

This is obvious, but some practices still forget to do this - always book appointments while the patient is still with you! If a customer leaves, it is very difficult to get a patient to book for the next appointment again. All kinds of excuses come up, and your staff won't have time to keep calling and trying to confirm the appointments.

Once the appointment has been confirmed, always remind the patients a few days before the actual day that the appointment is due soon. This will ensure that more patients turn up for follow up appointments. This leads to higher revenues for the practice.

Increasing revenues without increasing charges.

Getting patients to come for follow up appointments is actually good for the patients. The practice earns more money, and the patients walk away feeling healthier. Everybody wins.
