Eliminate Unnecessary Business Meetings With Business Instant Messaging

How many times have you traveled out of town by car or plane, stayed in a hotel room, possibly rented a car, got behind on your work at the office to attend a meeting which you later thought was short of informative? There is a better way. Business instant messaging has all the tools you need to eliminate needless travel.

Some meetings can not be avoided. There are some meetings that have to be attended but may not be worth the time and expense required to get all attendees in the same physical location. Making use of business instant messaging is a smart alternative that saves all of the time and money that would otherwise be spent on travel and lodging. Employees can remain productive, not even leaving the office, and still participate in the meeting.

Video/Voice Conferencing
Many business instant messaging clients offer voice and video conferencing options that allow the same level of communication and response as being in the same room with the other people. Instead of having everyone traveling to a meeting, do a voice or video conference and quickly review the topic. If you find later that not everything was covered, it's no problem to go to another conference and fill everyone in quickly and easily. Meetings can also be held using business instant messaging just like a traditional meeting but without the waste. First of all, each attendee needs to have access to the instant messaging service. A meeting of your company employees at various branch locations could be conducted by each person making use of the features at their own desk or by meeting in a room at each location if the facilities allow. Secondly, the time needs to be scheduled and persons invited. At the scheduled time, each attendee logs on and joins the voice conference or video conference, whichever is being used. Instant messaging can also be utilized to ask questions without interrupting the flow of the meeting.

Client Meetings
As far as the situation allows, client meetings can also be held with business instant messaging. This can be a great benefit to customers who would otherwise bear the expense of traveling to your location. It also allows for shorter consultations or follow up sessions to help clear up details between face-to-face meetings. Business instant messaging is a valuable meeting tool, saving you and your clients money, allowing for more frequent sessions and less wasted time.
