‘Effective Communication’ is the essence and the main ingredient for an organization’s path to success. To communicate easily, quickly and safely both within and outside the organization, organizations employ web based email clients or application software. Amongst the most popular and successful email clients available in market Microsoft’s Outlook is the most prominent and notable player.

MS Outlook is basically a Personal Information Manger. With its primary use of sending and receiving emails it also possess utilities like calendaring, scheduling, task manager, to-do lists, contact management and journal. MS Outlook saves all its data present in form mail messages, contacts, assignments etc. in one single PST file.

Business Expansion. Ever increasing size of the mailbox and contacts lists.

As businesses grow and expand in size so do the clientele information which exponentially increases the mailbox size, contacts list, appointments and other data. This ultimately increases the size of the PST files. One can confront following issues with the increase in mailbox size and other data. The below mentioned issues can be confronted with MS Outlook extensively used at a single user end or within organizations having multi-user environment.

  • Difficulty in accessing data

  • Difficulty in navigating across the data.

  • Filtering and Sorting data becomes a strenuous and grueling task.

  • Outlook’s execution and operating time is slowed.

  • Duplicity in data occurs, especially with contacts data.

  • The simple operations that of ‘Send/Receive’ mails becomes a tedious and prolonged activity.

  • Also, in multi-user environment wherein huge data transfer and data sharing activities takes place through email messages, daily updations to the contact list, etc. Enormous efforts vested in managing such huge amounts of data goes fruitless if required information cannot be obtained for the desired use like for preparing reports, data charts etc., data search, management of crucial data, etc.

ANSI and Unicode PST Files

All the issues discussed above can be broadly categorized into Microsoft Outlook ANSI PST files and Outlook Unicode PST files. ANSI the abbreviated form for American National Standards Institute is the standard character format supported by MS Outlook versions from 97-2002. The ANSI PST files are susceptible to corruption risks owing to the enforced 2 GB file size limit.

Microsoft designed the Outlook 2003 version keeping in view the issues with the ANSI PST files. Outlook 2003 and the succeeding versions thereafter i.e. 2007 and the newly released 2010 support the Unicode standard character format. By default, the Unicode PST file size in Outlook 2010, 2007 and 2003 is configured to be 20 GB.

Also, in Outlook 2003 the Internet Message Access Protocol (IMAP) accounts and HTTP accounts require and use .pst files that support ANSI format and are limited to 2 GB file size. But the default .pst is Unicode. However, in Outlook 2007 and 2010 the IMAP and HTTP accounts use a Unicode formatted .pst file.

For effective Data Management Split Outlook PST Files.

For better data manageability and navigation in the PST files, the oversized PST files need to be broken down into smaller parts. To achieve the desired result it’s wise enough to employ an effective 3rd party splitter tool which can effectively divide PST files into smaller ones and make them healthy and usable.
